Our Client a Global Logistics, Clearing and Forwarding organization is seeking an Ocean Freight Manager to join their team in Johannesburg.

Key Responsibilities

  • Operations
    • Ocean Freight:
      • Check milestones in Cargo Wise every morning to ensure that all work is current and to address any file that could become a problem early.
      • Speak to the operational staff as to look at volumes and bottle necks that may delay the import process.
      • Where high volumes are experienced, move resources around as to ensure it is handled in such a way that the service level of the department is maintained.
      • Look at Job management in Cargo Wise daily as to address any Wip’s and accruals that may be on files and to ensure they are on CMP status.
      •  Look at Job management in Cargo Wise daily as to look at files with losses or low margins and files with high margins. This to be investigated as to ensure there are no under or over recoveries.
      • Managing of all exceptions in CargoWise daily
      • Auditing and signing off of files to ensure that the file was invoiced, the P&L printed and signed off by the operator and that the file content is in the correct order
      • Resolving any queries raised in the same day it was raised.
      • Reply to each mail received during the working day.
      • Assist customer services with any client related queries that resulted from operations.
      • Write detailed reports on files where there are problems as to highlight the problem and describe what action has been taken to ensure there is no re occurrence.
      • Ensure that the Ocean department is kept tidy at all times and conform to the companies’ house rules.
      • Report any equipment or facility failure to management as soon as it is spotted.
      • Visits clients where required
      • Talk to staff daily as to assess the volumes and any to identify any bottlenecks that exist.

      • Staff
        • Complete new position / replacement approval forms as to follow HR policy in the recruitment process.
        • Recruit staff that will fit in with the organisations culture and has the knowledge and experience to add value to the department
        • Identify training requirements as to expand the employees knowledge in line with companies expectations
        • Responsible for performance management, coaching and counselling of staff.
        • Manage disciplinary action against staff where required.
        • Chair disciplinary hearings where required for the company.
        • Manage the Occupational Health and Safety associated with operations in the department
        • Suppliers
          • Responsible for maintaining a good working relationship with service providers.
          • Monitor the performance of carriers, transporters and third party suppliers.
          • Monitor supplier’s rates as to ensure they are competitive.
          • Quality
            • Responsible to ensure that the department’s quality of service is of the highest quality at all times.
            • Foster a culture of getting it right the first time.
            • A culture of taking full ownership of each file and doing you best on each file must be fostered.
            • Managers to monitor milestones and manage by exception as to catch early catches and uplift the level of quality service.
            • Process
              • Review the operational processes as to ensure there is continued improvement.
              • Where operational processes are changed the process flow chart has to be updated to accommodate the change.
              • Financial
                • Compile the yearly budget for the Ocean freight department
                • Receive the monthly Profit and Loss for Ocean freight and the customs department to analyse and any inconsistency in the P&L must be reported and addressed immediately.
                • Manage the profitability of files and bringing any area of under recovery to the attention of client services and management.
                • Manage  and control all shipping line reconciliations
                • Manage operational costs

Knowledge & Experience

•          Matric or Senior Certification equivalent

•          Must have 10-15 years experience in Ocean freight, clearing and forwarding

•          Must have at least 5 years management experience

•          Very good understanding of customs processes and procedures

•          Financial management and budgetary control
