Urgently seeking a efficient, flexible and skilled Team Coordinator to provide administration and project support to a dedicated consulting team. Working within a busy, forward thinking and ever changing environment you will be supporting the team on special marketing projects as required and work with other team coordinator(s) to coordinate general office administration and organisation.
Key responsibilities for the Team Coordinator include;

  • Turn handwritten workshop outputs into presentable documents using MS PowerPoint or Word
  • Provide secretarial support for relevant material development, preparation, quality checking and production
  • Set up appointments, communication with clients, recruits, logistics etc. on a needs basis
  • Provide workshop ‘packs’ and printing all materials as required for client workshops/ meetings
  • Coordinating logistics and timelines with print suppliers for workshop templates and marketing display
  • Scheduling complex schedules of worldwide research interviews with client associates
  • Occasional formatting and grammatical checks for workshop slide packs, pre reads, proposals and workshop templates
  • Provide proactive diary and travel management support to all Consultants
  • Dedicated secretarial support, managing day to day calendar, routine board meetings, 1:1 staff catch-ups
  • Pro-active management of meeting room bookings, catering, preparing agenda items and minute taking as required
  • Point of contact for incoming telephone calls, visitors and managing all incoming mail
  • Management of stock levels for stationery items and office snacks
  • General meeting room facilitation and catering requirements

The ideal Team Coordinator will need;

  • The ability to easily and time efficiently manage general secretarial tasks
  • Strong organisational and project management skills in a multi-team, multi-personnel environment
  • Pro-active in generating and maintaining workflow /able to work on own initiative; and from initial direction
  • Intermediate to advanced MS Word and PowerPoint, basic Excel
  • Strong numeracy and literacy skills with a high level of attention to detail
  • Highly customer focused with a professional telephone manner
  • Ability to perform a wide variety of tasks and change focus quickly as demands change
  • Some knowledge/understanding of Marketing and/ or Pharmaceutical industry useful

Hours 9am-5.30pm Monday to Friday
Salary £25-27K depending on experience
